This text explains how AES Innovation R&D Consulting Industry and Trade Ltd. Co. (AES Innovation) processes the personal data of individuals who receive offers, purchase services, or contact us. It has been prepared in accordance with Article 10 of the Law No. 6698 on the Protection of Personal Data (KVKK) and the Communiqué on the Procedures and Principles to be Followed in Fulfilling the Obligation to Inform.
When our client is a company or institution, this text applies to the employees, officials, and field representatives of that institution who correspond with us during the inspection. Information belonging to legal entities is not covered under the Personal Data Protection Law (KVKK).

2. Personal data we process
- Identity: Name, surname, title or position; for individual customers, Turkish Republic identity number for invoicing purposes.
- Communication: Phone number, email address, address, province, and district.
- Customer transaction: Request for quotation and its content, contract, order and appointment information, correspondence, complaint and objection records.
- Finance: Billing and payment information.
- Field records: Photographs and thermal camera images taken during inspection and measurement, measurement results, the name and signature of the accompanying official on site. These records are taken to document the condition of the equipment; individuals present on site may appear in the footage.
- Website usage: IP address, browser and device information, and browsing and advertising measurement data collected through cookies.
We do not request sensitive personal data, such as health data, for our services.

4. Transfer of personal data
- Public institutions: The Ministry of Labor and Social Security (İSG-KATİP, EKİPNET), the Revenue Administration, TÜRKAK, judicial authorities, the Personal Data Protection Authority, and other legally authorized institutions may only provide data to the extent of their legal obligations and requests.
- Our service providers: Financial advisor and e-invoice service provider; website hosting (Hostinger), email and office software (Microsoft 365), site measurement and advertising (Google); WhatsApp (Meta) if you choose to communicate with us via WhatsApp.
- Our solution partners: In projects where we carry out part of the service with a solution partner (such as EU legislation compliance services), only the data required for that specific project is used.
- The parties you have designated: The insurance company, adjuster, occupational health and safety company, or business partner to whom you want the report to be submitted.
The servers of the service providers listed above—Hostinger, Microsoft, Google, and Meta—may be located abroad. Therefore, your data may be transferred abroad as part of these services.
5. Addition method
We collect your personal data electronically or physically through offer forms, emails, telephone and WhatsApp communications, contracts and their annexes, during field visits and inspections, and via cookies on our website. When your organization designates you as a contact person, your data comes from your organization. We may also obtain potential customer contact information from publicly available sources such as organizations' websites.
6. Storage times
- Contracts, invoices, and commercial correspondence: 10 years, in accordance with Article 82 of the Turkish Commercial Code.
- Inspection records, field footage, and reports: 5 years.
- Unresolved requests for proposals: 1 year.
- Cookie data: for the duration of the cookie's validity.
Personal data is deleted, destroyed, or anonymized after the specified period.
7. Your Rights
By contacting us in accordance with Article 11 of the KVKK (Personal Data Protection Law):
- a) To find out whether your personal data is being processed,
- b) Requesting information regarding processing, if applicable.,
- c) To learn the purpose of processing and whether it is being used in accordance with its purpose,
- c) Knowing the third parties to whom it is transferred, whether domestically or internationally,
- d) Requesting correction if it is incomplete or incorrect.,
- e) Requesting deletion or destruction within the framework of the conditions in Article 7 of the KVKK (Personal Data Protection Law),
- f) Requesting that the actions taken pursuant to clauses (d) and (e) be notified to the third parties to whom the data has been transferred,
- g) You have the right to object to a result that is unfavorable to you, which is the result of analysis exclusively by automated systems.,
- g) The right to claim compensation for damages you have suffered as a result of an unlawful act.
You have rights.
8. Application method
You can submit your application in writing to the address above, via registered electronic mail (KEP), with a secure electronic signature or mobile signature, or by sending an email to info@aesinn.com with the subject "KVKK application" from the email address you previously provided to us and which is on record.
Your application must include your name, surname, signature (for written applications), Turkish Republic identity number (nationality and passport number for foreigners), address, email or telephone number, and the subject of your request.
We will respond to your application free of charge within 30 days at the latest. If the process also requires a cost, a fee may be charged according to the tariff determined by the Personal Data Protection Board. If your application is rejected, if you find the response insufficient, or if no response is given within the specified time, you may file a complaint with the Board in accordance with Article 14 of the Personal Data Protection Law.
